How to keep your shift history when your rotation changes

A common story: you change team or job, enter your new pattern, and years of past shifts get rewritten or wiped. That happens when one pattern is applied to every date, past and future. Splitting it into three ideas — a new pattern from a date, single-day exceptions, and a backup file — keeps your history safe.

Add the new pattern from a date

When your rotation changes, don't edit the old pattern. Add a new pattern that starts on the date of the change. Dates before it keep following the old pattern, dates after it follow the new one, and your past work days and night counts stay as they were.

  • Find the date your new roster starts
  • Add a new pattern starting on that date
  • Choose the day you work the first block of the new pattern
  • Flip back to earlier months and check your old shifts are unchanged

Swaps, overtime and leave: change a single day

When you swap a shift with a coworker, pick up overtime or take leave, change just that date instead of the pattern. The pattern stays the same and only that one day is overwritten, so the next cycle carries on as normal.

Save a backup file before changing phones

If your shift app stores everything on your phone with no account, the safest move before switching devices is to save a backup file. Keep it somewhere your new phone can open, such as a cloud drive or email, then install the app on the new phone and restore it. Restoring can replace what's on the device, so double-check you're picking the right file.
